Position Overview

Risk Management is currently seeking a Full-time Regular Coordinator, Insurance Programs.

Reporting to the Manager, Operations, Risk Management & Insurance, the Coordinator, Insurance and Risk Programs is responsible for the coordination and administration of key risk management programs at the University of Calgary related to risk and insurance regarding insurance policy renewal and purchase, registration systems, and risk programs. 

This position has primary responsibility for coordination and administration of insurance policy renewal and purchase as well as insurer audits, which are critical components of the risk strategy at the University of Calgary. They are the primary and critical support person for the University of Calgary’s insurance program and the first point of contact for insurance related inquiries. The position acts in an advisory capacity, working collaboratively within the department and with external departments to ensure necessary information is obtained and submitted to brokers and insurers.

Position Description

Summary of Key Responsibilities (job functions include but are not limited to):

  • Primary and critical support person for the University of Calgary’s insurance program.
  • Responsible for existing insurance policies as well as assisting with any new coverage sought.
  • Prepares the annual submissions on insurance policies including, but not limited to: Auto and Non-Owned Auto, Boiler, Special Risk, Crime, Cyber, Fine Arts, Employment Practices Liability, Environmental, Property, Mercer Student Catastrophic, Board Travel, Volunteer AD&D, and the annual International SOS contract.
  • Contacts departments for information necessary to complete insurance policy applications and renewals; and ensures this is received, recorded and submitted within specified timelines.
  • Manages related databases and pulling reports.
  • Prepares renewal submissions for review by the Manager, Operations and Director, Risk Management & Insurance.
  • Forwards all application information to the insurance brokers for quotes. This involves working with both internal departments (building managers, project managers, architects, etc.) and the insurance brokers in order to track and complete all facets of the application process and ensure that required documentation is received and submitted within identified timelines.
  • Updates master insurance policy chart and activity schedule.
  • Participates in insurance binding and strategy meetings with insurance brokers.
  • Key contact for the insurer audit program in conjunction with Facilities, external auditors and the insurers.
  • Act as first point of contact for students and employees/faculty and for external inquiries about the insurance program.

Qualifications / Requirements:

  • Three to five years of experience in a risk management, insurance or related field. Underwriting and/or Agency experience is preferred
  • Strong working knowledge of risk management and/or insurance practices
  • Exceptional customer service skills
  • Excellent critical-thinking, problem solving, and verbal and written communication skills
  • Ability to analyze, problem-solve and make recommendations
  • Demonstrated ability to work collaboratively and interact respectfully and persuasively with a variety of internal and external contacts
  • Excellent time management and organizational skills, with the ability to set priorities and work independently
  • Intermediate experience in MS, Word and Access is required
  • Ability to learn and adapt to new systems and technology is essential
  • This position requires strong attention to detail, and the ability to seek information efficiently.
  • Commercial insurance experience an asset
  • Post-secondary degree, diploma or certificate in a risk management, insurance, or related field an asset
  • Previous experience working in an educational or other public sector environment an asset
  • Experience in PowerPoint, Visio and Archibus systems would be an asset.
  • Strong understanding of the University of Calgary policies and procedures is an asset
